Business email is not really about features. Almost every provider gives you a mailbox, a calendar and a shared contact list. It is about two things: does your mail actually reach the recipient's inbox, and can the owner run it without calling for help. Google Workspace is the only provider that scored top marks on both.
Deliverability that just works
In our tests, mail sent from a freshly configured Google Workspace domain landed in the inbox at Gmail, Outlook and Yahoo without extra tuning, once SPF, DKIM and DMARC were set (the setup wizard walks you through all three). Smaller providers needed manual work to stop landing in spam.
An admin console an owner can actually use
Adding a user, resetting a password, setting up an alias, recovering deleted mail: every common task was findable without a search in our task tests. Microsoft 365's admin center is more powerful but takes longer to learn. Budget providers hide these settings in awkward places.
The apps come with it
Docs, Sheets, Slides, Meet and Drive are included. For most small teams that removes a second subscription. If your business already runs on Microsoft Office files, that point swings the other way (see the runner-up).

The runners-up, and why they came second
Microsoft 365 Business
Matched Google on deliverability and security, and the clear pick if your team already works in Word, Excel and PowerPoint or you need desktop Office apps. It lost on setup: the admin center has a steeper learning curve for an owner doing it alone.
Zoho Mail
The best value in the field by a wide margin, with a genuinely usable interface and a free tier for a single domain. It comes second on deliverability and its support was the slowest we dealt with. If cost is the deciding factor and you can handle a slower support queue, this is the one to get.
Hostinger Business Email
If your site is already on Hostinger, adding email there keeps one login and one bill, and the price is low. It is fine for basic professional email. It is not our overall pick because storage is minimal, the app suite is thin, and deliverability needed more attention than Google or Microsoft. Good enough for a solo business, not for a growing team.
Who should not pick Google Workspace
- Your business runs on Microsoft Office documents. Microsoft 365 is the better fit and includes the desktop apps.
- Cost is the single deciding factor. Zoho Mail does the core job for a fraction of the per-user price.
- You are a one-person business already on Hostinger and only need a professional address. The bundled option is cheaper and simpler.
FAQ
Do I need my own domain first?
Yes. Business email is you@yourcompany.com, so you need to own that domain. If you bought hosting, you likely already have one. The provider's setup wizard connects it.
Will my old mail move over?
Google Workspace and Microsoft 365 both include a migration tool that imports mail from Gmail, Outlook or most IMAP accounts. In our test a standard mailbox moved within a few hours.
What about SPF, DKIM and DMARC?
These are DNS records that stop your mail landing in spam and stop others spoofing your domain. Every provider here walks you through them during setup. Do not skip them.
Can I just use free email with my domain?
Some hosts include one or two free mailboxes. It works for a solo business. For a team, or if delivery matters, a dedicated provider is worth the per-user cost.
